TYPES OF STANDS AVAILABLE

a)      3m x 6m stands
        These stands consist of a metal frame with roof and sides in pvc material, and a
         wooden floor. A night sheet is provided.
        A banner rail is provided above the stands which allows the attachment of a sign.
        A plastic walkway will be placed in front of the stands to protect against unfavourable
        weather. 

         Measurements
         Frontage      3m
         Depth           6m
         Height          2.4m from the ground (not the floor) to the eaves of the unit, and 3.5m to the
                              apex (8’00” a 11’00”). 
                             We cannot give exact measurements from the ground as it varies. 
         Banner rail    2 metal bars along the top of the stand with 610mm between the two
                              (2’00”).

         If you order more than one unit, no internal dividing wall will be provided, unless
         otherwise requested.

b)       Exhibition Hall
An aluminium framed building with solid plasic walls, a wooden floor, carpet, pvc waterproof roofs, and solid, lockable doors. Space is charged per square metre but a minimum space of 2m x 2m must be booked. The cost is £102.50 per m2 + VAT. These are units made up of 1 metre wide panels, and measuring 2430mm (8 feet) in height suitable for the fixing of light exhibition material (posters etc) using ‘Velcro dots’.
A name board is provided above the unit.

c)       Space only
An organisation or company may bring their own exhibition trailer to the Eisteddfod or make independent arrangements to hire a building/marquee rather than hire a metal framed stand. These will be located around the Eisteddfod Maes where space allows. Measurements and area required should be noted under Space Only on Form 1.

ch)     Building Hire
It is also possible to hire a building through the Eisteddfod (including water, electricity, partitions, carpet etc). Contact the Eisteddfod Office to discuss your requirements and for an estimate of the cost.

COSTS

Grade 1 – Charities / voluntary organisations
Grade 2 – Businesses – including shops, unions, colleges and universities etc.

The cost also includes an allocated number of free tickets.

MAKING AN APPLICATION

Closing Date:         1 April 2010
Deposit:                  £250.00 (non-refundable) or payment in full.
Payment:                 If full payment is not received with the application, an invoice will be sent at
                              the beginning of April.

You can pay by cheque (payable to Eisteddfod Genedlaethol Cymru), or with a credit card (see Form 7) or via BACS. If you pay by BACS, please inform the office when payment has been made.

Late Applications: Late applications will be accepted if there are spaces available.

After 1 April, a cheque for the full amount should be included with the application.

The units will be allocated according to the order that FULL PAYMENT is received.
Units/sites will not be allocated unless full payment has been received.

The units will be sited with the intention of creating variety on the field.

If an application is made by any trader to be located in a certain area or close to someone specific, full payment should be sent with the application form.

The National Eisteddfod shall not take any responsibility for any financial loss arising from the siting of the unit/s.

Sub-letting or part letting of any stand/site is not permitted without the permission of the Eisteddfod although sharing a stand is acceptable. Please inform the Eisteddfod Office of all organisations with a presence in your stand.

The Eisteddfod reserve the right to refuse applications.

WIRELESS BROADBAND CONNECTION / TELEPHONE

The company providing the service again this year is Ethnet UK, a company who specialise in providing broadband services to events and exhibitions throughout Europe. Download the booking form for internet connection, telephone and PDQ (credit card processing machine)

If you will be bringing a laptop to the Eisteddfod for a day or a few days only (and that the laptop can use a wireless link), it will be possible for you to buy the on-line internet service for a specified time. You do not need to book beforehand, just log on to the internet as usual and follow the instructions on the screen.

If you would like to use ETHNET UK, the prices are cheaper if you order BEFORE 31 May 2010.

BT – If you need to order anything from BT e.g. an analogue telephone line or an ordinary analogue line for a pdq machine / dial-up for a computer, you need to contact BT directly.

CANCELLATION

If an application is cancelled, the deposit will not be refunded.
If an application is cancelled after 1 June 2010, the Eisteddfod will claim the full cost of the stand.
