SETTING UP

Wednesday 28 July, Thursday 29 July, and Friday 30 July.

The Eisteddfod will officially open on Friday evening, 30 July with a concert in the main pavilion, therefore no vehicles will be allowed to move around the Eisteddfod Maes after 7.00 pm on that evening. Any vehicle still on the Maes after this time will have to wait until the end of the concert before leaving. Any property placed in the stand will be entirely at the hirer’s risk, and you are advised to ensure adequate insurance for your property for the entire period.


DISMANTLING AT THE END OF THE WEEK

After 6.00 pm Saturday evening, 7 August.

Vehicles will be allowed on the Maes after 6.00 pm on Saturday evening, 7 August.
Stallholders are also urged to take extra care and to be aware of the large number of people who will still be on the Maes.
We strongly urge everyone to empty their stand / space / buildings on Saturday evening.
We do not recommend that any property is left in the stand after Saturday evening.
If this is not at all possible, you should contact the Technical Officer to make arrangements (07812 980322).

The stands must be emptied of all rubbish at the end of the week, by either using the skips or recycling bins provided.

PLEASE NOTE – The Eisteddfod will not accept responsibility for any lost or stolen property.


OPENING HOURS

Saturday 31 July                                 9.30 – 6.00 at least
Sunday 1 August                               10.30 – 6.00 at least
Monday 2 August – Saturday 7 August    9.30 – 6.00 at least

All stands are expected to be open between 9.30 – 6.00 each day except for Sunday, 2 August, when stallholders are urged to open when the Service in the main Pavilion ends at around 10.30 am. Visitors are likely to remain on the Eisteddfod Maes until the concerts in the main Pavilion start at 8.00 pm, therefore stallholders are encouraged to consider staying open later than the specified time.


VEHICLES

All traders are asked to ensure that vehicles are kept to a minimum when setting up by using each vehicle to their full capacity.

i. Setting up the week before the Eisteddfod - Before the Eisteddfod - Only vehicles which are obviously carrying goods and
heavy equipment will be allowed on the Maes. All hirers and their staff will be asked to park in the car park. No vehicles will be
allowed onto the Maes after 7.00 pm on Friday evening, 30 July because of the concert held in the Pavilion.

ii. During the Eisteddfod week, ONE vehicle pass which allows entry on to the Maes (and departure) before 9.30 am and between 6.00pm and 7.00pm will be given to all stands and buildings. Entry is allowed on payment of a deposit of £30.00. This deposit will be refunded if the vehicle leaves the Maes within the stipulated time. Any vehicle abusing this privilege will be refused entry for the remainder of the week. All persons in the vehicle must have an Eisteddfod Ticket to be allowed entry.

iii. End of the week. Vehicles will not be admitted to the Maes on Saturday, 7 August until after 6.00 pm. Stallholders are also urged to take extra care and to be aware of the large number of people who will still be on the Maes.

No work can be done on the Maes or vehicles moved around the Maes after 7.00 pm any evening because of the concerts held in the Pavilion.

Vehicles are not allowed to park anywhere on the Maes during the Eisteddfod week. Wheel clamps will be in operation (in accordance with the Private Security Industry Act 2001) and an £80 fine will be charged for release.


PARKING

There will be a specific car park for traders next to the Eisteddfod Maes.
No sleeping overnight in cars or vans is permitted in this car park.


TICKETS

An allocation of free tickets will be given to each trader as part of the package.
Special tickets will be issued for stallholders which cannot be exchanged with any other tickets.
The tickets will be barcoded and dated, therefore the correct ticket must be shown to gain entry to the Eisteddfod.

Tickets – metal framed units

(a) Free tickets will be issued as follows:
i. Single stand or 3m x 6m (10’ x 20’)space - 3 tickets per day.
ii. Double stand or 6m x 6m (20’ x 20’) space - 6 tickets per day.
iii. For each additional stand or 3m x 6m (10’ x 20’) space - 1 extra ticket per day.
iv. Total of tickets allowed - 12 tickets. Additional tickets can be ordered by submitting a request to the office on Form 5.
(b) Tickets are not transferable between persons working on the site for which the tickets have been issued.
(c) Entrance to the Eisteddfod is not permitted without a ticket between 31 July-7 August 2010.

Tickets – individual company buildings and space only

(a) Free tickets will be issued as follows:
i. First 18 m2 – 3 tickets per day
ii. Space between 18m2 - 36 m2 - 6 tickets per day
iii. For buildings / space over 36 m2, - 6 tickets per day for the first 36 m2
Each 18m2 after that will receive 1 ticket per day.
e.g. A 8m x 8m Chalet which is 64 m2 will receive 8 tickets.
(b) Tickets are not transferable between persons working on the site for which the tickets have been issued.
(c) Entrance to the Eisteddfod is not permitted without a ticket between 31 July-7 August 2010.

Tickets – buildings housing a number of organisations

(a) Free passes will be issued as follows:
i. follow (a) above or
ii 2 tickets for each organisation within the building – whichever is the highest.
(b) Eisteddfod tickets are not transferable between persons working on the site for which the tickets have been issued.
(c) Entrance to the Eisteddfod is not permitted without a ticket between 31 July-7 August 2010.
